The position of Administrative Assistant will be responsible for providing administrative support to ensure efficient operation of the office. This position will work closely with all staff to provide general project, accounting and administrative support.
What You’ll Do
- Provide front desk coverage, including managing a multi-line phone system, create positive first impressions when greeting guests who enter the office, managing incoming/outgoing mail and shipments, maintain an organized and clean office environment
- Provide responsive and courteous support to employees and guests, in-person and over the phone
- Coordinate conference room reservations and activities, including catering when needed
- Coordinate and make arrangements for conferences, meetings and in-house events
- Ensure a professional and well-kept presentation of office space (reception area, conference rooms and kitchen areas)
- Maintain office calendar and support office social and cultural activities
- Carry out administrative duties such as filing, typing, copying, and scanning
- Perform administrative support tasks as assigned by the executive/leadership team as well as others within the office
- Follow an organized filing/management process for electronic and paper documents
- Maintain filing system, contact database, employee list and inventories
- Prepares communications such as: memos, emails, invoices, reports, meeting minutes and other correspondence
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, place orders and manage purchasing email
- Use company provided software to create multiple agreements between Owners, Contractors, Architects and Consultants
- Produce and distribute correspondence letters and forms, including contracts and other legal documents
- Reconcile monthly credit card statements
- General Accounts Payable duties including processing vendor invoices
- General Accounts Receivable duties including daily bank deposits
- Responsible for updating monthly net billings spreadsheet
- Perform other related duties as assigned
What You’ll Need
- High school diploma or G.E.D. required
- Two years relevant office experience preferred
- Previous experience in the AEC industry is valued
- Strong customer service and communication skills with a polite and pleasant disposition
- Excellent time management skills and ability to multi-task, organize and prioritize work
- Knowledge of office management systems and procedures
- Energetic, proactive, and motivated with a keen eye for detail
- Proficient in Microsoft Office Suite or related software
- Must possess a valid driver’s license
