Job Description Summary:
The University of Kansas Medical Center, Internal Medicine, Division of Physical Activity & Weight Management is a comprehensive division at the forefront of clinical trials, lifestyle intervention trials, and translational research.

This ideal candidate will be an engaged member of the administrative team in increasing the efficiency and efficacy of the administrative operations in support of the center's researchers, clinicians, and staff. This position collaborates and maintains communications with various teams within the department, KUMC, KU Health System, KU Endowment, and KU-Lawrence.

THIS POSITION IS LOCATED IN LAWRENCE, KS. The starting salary range for this position is $24.20 - $29.64/hour.

Job Description:

Required Qualifications

Education:
  • Associate's Degree in Business Administration or other related field. Experience may be substituted for the degree requirement on a year-for-year basis.


Work Experience:
  • Two years of experience performing administrative functions and/or financial operations.
  • Excellent written and verbal communication as evidenced by application materials and interview.
  • Proficient in Microsoft Suite; specifically Excel.


Preferred Qualifications

Work Experience:
  • Experience with Workday, KUMC and KU Lawrence financial systems.
  • Three years of experience performing payroll, billing, purchasing, reconciliation, forecasting budget
  • Experience with various grant funding agencies regulations and grants management.


Skills:
  • Demonstrated ability to effectively organize, manage multiple tasks and work independently.



Key Roles and Responsibilities:

Accounting (references all income, grant and endowment (Over 46 accounts)
  • Ensures that revenues and expenses are deposited and charged to appropriate accounts.
  • Places orders for all Division programs.
  • Receives and processes invoices for payment for all accounts in a timely manner.
  • Prepares and submits travel reimbursements for staff travel to conferences and meetings.
  • Processes orders as needed on business procurement card and reconciles.
  • KU Weight Management Program Duties daily tracking of credit card transactions.
  • Manage the majority of purchasing and receiving functions.
  • Liaison with the appropriate accounts payable departments.
  • Manages revenues and expenditures for all Division accounts.
  • Plan and supervise ongoing projects assigned by the Director.


Budget (Over 5+ million)
  • Reconcile monthly budget accounts and present to Operations Manager and Director for review.
  • Assist with creation of reports and spreadsheets as needed.


Payroll (28+ employees)
  • Support all time tracking needs for the department.
  • Review and approve employee timesheets.
  • Track employees time off requests.
  • Resolve timesheet errors and make corrections.
  • Run time and audit reports as needed.
  • Maintain Confidential Records

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
